President


Role Specific Responsibilities

  1. Presides at, and sets the agenda for, meetings of the Board of Directors and membership meetings, except as noted in Article VII of these Bylaws; and oversees the management of the Chapter.
  2. Presides over all regularly scheduled meetings of the Chapter.
  3. Presides over regularly scheduled meetings of the Board of Directors.
  4. Appoints chairpersons for standing and special committees.
  5. Provides leadership for the officers and Board members and encourages active participation in leadership from the President-Elect and Past President.
  6. Delegate’s responsibility for coordination of general Chapter functions, such as answering service, mailbox, etc. which is not already assigned to an officer or Board member.
  7. Serves as Past President for one-year after elected term.


General Board-Shared Responsibilities:

  1. Promote the ASTD Chapter internally by building member value into events as well as among external professionals, professional organizations and by participation in trade shows as appropriate.
  2. Participate in development of a retention/recruitment strategy designed to maintain on-going contact with Chapter members.
  3. Plan to attend Chapter meetings in support of the event, or designate a representative when absent.
  4. Host guests at Chapter meetings through individual welcome, assisting to connect with appropriate members and by hosting a table at each meeting.
  5. Plan to attend Board meetings, make recommendations for Chapter improvement and report items requiring Board action.
  6. Write a comprehensive Board report including items requiring action, statistics and activities for the month. Distribute the report to the Board and post on the Yahoo Group.
  7. Formulate an annual budget request for the area of responsibility.
  8. Develop a succession plan by identifying qualified candidates, then selecting, training and coach/mentor the candidate.
  9. Create committee and recruit committee members as needed.
 

President-Elect 

 

Role-Specific Responsibilities:

  1. Acts for President in the President’s absence.
  2. Carries out special responsibilities as assigned by the President.
  3. Coordinates an annual Chapter customer satisfaction/needs assessment.
  4. Appoints and chairs budget committee to develop budget for coming year Chapter budget.
  5. Responsible for compiling and submitting MAP awards form (s) on behalf of the Chapter to National ASTD at the direction of the President.
  6. Responsible for accomplishing the following in preparation for the coming presidential year:
  • Orientation of newly elected Officers and Board members
  • Preparation of annual goals.
  • Development and/or review and update of strategic goals.

Past President 

 

Role-Specific Responsibilities:

  1. Schedules activities and functions related to the selection and involvement of the Chapter’s Advisory Council.
  2. Coordinates with the President-Elect selection of a Nominating Committee to identify nominees for the coming year Board of Officers and Directors.
  3. Serves on the Membership Committee to provide leadership for new member orientation activities.
  4. Serves the current President as required.

Vice President - Finance 

 

Role-Specific Responsibilities:

  1. Maintains Chapter finances, including making deposits received from Chapter Meetings, PayPal, Member Services and via US mail.
  2. Pays invoices received for services rendered.
  3. Reconciles bank account each month.
  4. Create a monthly financial report and distribute to Board.
  5. Arranges annual audit of financial records – secures auditor, delivers records, receives report.
  6. Files annual Franchise Tax Report with the Secretary of State.
  7. Assists the Board in understanding financial implications and benefits of Chapter non-profit status.
  8. Recruits other members to volunteer to execute defined roles and responsibilities in Finance.

Vice President Communications    (Internal)

 

Role-Specific Responsibilities:

  1. Publishes a Chapter newsletter each quarter during the year.
  2. Distributes newsletter to members via e-mail, by posting on the website and by providing hard copy for distribution at Chapter meetings.
  3. Publishes a Chapter member directory; post to website (Member Only section) and to the Board Yahoo Group.
  4. Creates “Upcoming Events” flyer announcing speaker and topic two months prior to Chapter meeting. Prepare, print and distribute at each Chapter meeting.
  5. Compiles and maintain a library of form letters for the Chapter communications. Send letters at the direction of the Board as appropriate.
  6. Oversees the distribution/mailing of monthly meeting announcement postcards.
  7. Sends “thank you” letters to speakers and “welcome” letters to visitors following Chapter meetings.
  8. Sends birthday cards to Chapter members.
  9. Assists with job placement training support – HOPE Center

Vice President Hospitality

 

Role-Specific Responsibilities:

  1. Provides food service at Chapter meetings, including planning the menu, contacting and placing catering order, and directing set-up of food service. (If a caterer is not available, order and pick up food at an alternate location, transport to Chapter meeting, set up and provide clean up at conclusion of meeting.)
  2. Prepares the meeting site including arrangement of tables and chairs, contacting facility support, display and remove ASTD signs, and place materials on tables for distribution.
  3. Provides for table decorations (centerpieces) as deemed necessary.
  4. Sets up resource table and display table for raffles.
  5. Secures invoice from caterer and transfer to Finance or arrange payment to food- service provider.
  6. Assures hospitality coverage in the event of absence.
  7. Implements a method of recognition for members (birthday).
  8. Assists with collection and delivery of donated items for Chapter community service project “Suited for Success” – the HOPE Center.

General Board-Shared Responsibilities:

Vice President Marketing   (External)

 

Role-Specific Responsibilities:

  1. Creates a strategy for marketing the Chapter including specifying a target market and making calls or visits.
  2. Ensures “branding” of Chapter on all publications
  3. Develops pricing strategy for sponsorships and website advertisement opportunities.
  4. Develops marketing materials and distribute to the target group(s).
  5. Recruits Lead Learning Partners.
  6. Recruits advertising sponsors and sell advertisement space on website.
  7. Recommends Chapter participation in community events and trade shows as appropriate.
  8. Publicizes monthly Chapter meetings and other Chapter events by sending information to the Fort Worth Star-Telegram, other appropriate media and other similar organizations.
  9. Publishes press releases for placement in the Fort Worth Star-Telegram and other media as appropriate, to publicize Chapter successes and events. Post press releases on the Chapter website.
  10. Maintains Chapter online store - CafePress

Role-Specific Responsibilities:

  1. Maintains the member database. Enter new data, change data or delete data as appropriate.
  2. Sends expiration/renewal notices/reminders to members to encourage continuous membership.
  3. Determines monthly membership status and present findings to the Board.
  4. Sends monthly Chapter meeting notices/announcements via e-mail.
  5. Provides current employment opportunities to members through the maintenance of a resume binder.
  6. Updates new member directory information quarterly and forward to Communications for posting.
  7. Generates member reports as needed by other officers.
  8. Promotes, assists with and/or lead CPLP study group or other Personal Development Networks (PDN)

Role-Specific Responsibilities:

  1. Records proceedings at the Board meetings and transcribe minutes. Retain a permanent file copy in archive.
  2. Distributes transcribed minutes to the Board at Board meetings and post to website (Member Only section) and on the Yahoo Group site for review and archive purposes.
  3. Establishes a file system for minutes and records. Retain minutes, copies of material related to meetings and events. Make records accessible to the Board and Chapter members, via Member Only section on website. 
  4. Acts as Chapter Historian. Ensure all files are labeled and archived.
  5. Maintains “scrapbook” (e.g. website or hard copy) of Chapter yearly events.
  6. Takes photos at all Chapter meetings, Chapter events/recognitions. Create “slide show” of photos and submit to Technology for posting to website.
  7. Maintains archive photo files.

Role-Specific Responsibilities:

  1. Secures speakers for monthly Chapter meeting, confirming date with presenter.
  2. Acquires program description, speaker bio and forward to Communications, Technology and Member Services as appropriate.
  3. Welcomes and introduce speaker at monthly meetings.
  4. Purchases gift for speaker (e.g. gift card or book).
  5. Coordinates evaluation of programs – prepare, distribute and retrieve evaluations at Chapter meetings.
  6. Summarizes evaluations and present findings to the Board.
  7. Arranges or delivers “Ice Breaker” activity, related to program topic.
  8. Secures speakers/topics for conferences/workshops. Coordinate hosting of several conferences/workshops throughout the year.

Vice President Technology

 

Role-Specific Responsibilities:

  1. Maintains the Chapter website by securing the domain name through payment of an annual fee.
  2. Updates material on the web on an ongoing basis to ensure currency of the following: current program information, surveys, newsletters, assessments, special announcements, annual report, by-laws, Chapter meeting photos, calendar of events, job postings, sponsorships, marketing opportunities, career growth, community service, contact information and position announcements.
  3. Ensure transfer of meeting reservations to Hospitality and transfer of funds collected through PayPal to Finance.
  4. Advises Board on new and emerging technologies that may enhance Chapter operation.
  5. Works with the Board and vendors to acquire and implement new technologies as appropriate.

Vice President Registration

 

Role-Specific Responsibilities:

  1. Sets up the registration process at Chapter meetings. Provide and collect   appropriate forms, check attendee list against reservations list, distribute and pick up name tags.
  2. Maintains attendance records for Chapter meetings.
  3. Prepares analysis of month-to-month attendance and year-to-year attendance, present findings to the Board.
  4. Generates Chapter meeting attendance list and forward head count to Hospitality.
  5. Generates name tags, blank PC cards, and registration table forms as needed.
  6. Distributes and collect member name tags at Chapter meeting.
  7. Transfers collected funds and “no show” information to Finance.
  8. Acquires raffle items, sale tickets and conduct raffle, as appropriate.
